Our Chicago office seeks a well-organized, positive, and energetic person to maintain our financial records and keep our office running smoothly in collaboration with our US team. This is a full-time, salaried position.
YOUR NEW ROLE
As an integral contributor to our team you will report to the Controller/Accounting Manager and the Director of Administration as you keep our Chicago office’s finances and operations well-organized and running smoothly.
You will…
- Post and process bill payment (AP) via ACH, portals, checks
- Work with Controller to confirm all bills are paid
- Process payroll
- Maintain W4 and I9 forms on file for all employees accurately
- File quarterly taxes and unemployment records
- Collect expense receipts from design staff and provide them in a timely fashion to Controller for billing purposes
- Process expense reports
- Process company credit card statements, collecting backup
- Post to AR and process cash receipts to bank, apply to correct invoices
- Identify receivables issues and work with Controller to resolve
- Maintain vendor records
- Assist with bank reconciliations
- Assist with expense backup for client invoicing
- Analyze internal processes and procedures to make recommendations for improvement
- Assist with annual budget process
- Assist with annual compilation process
- Provide quality control for new project setup
- Maintain the archives database and project archive processes
- Handle “as needed” office tasks including lunch and learn setups, scheduling maintenance services
- Keep office supplies stocked, copiers/printers maintained
- Assist co-workers with shipping
- Box and move admin files into the admin storage areas or into cloud storage
- Deliver mail and shipments
- Assist your co-workers in general office operations as required

- Proficient with Microsoft Excel, Word, Outlook, and PowerPoint
- Proficient with database software such as Access
- Proficient with online and cloud-based workflows
- Understanding of basic accounting principles, preferably for architecture, engineering, or consulting services
EDUCATION REQUIREMENTS -
- Bachelor’s degree in Accounting or Business Administration and at least 2 years of experience in accounting.
This is a full-time position with benefits, health insurance, 401k, paid vacation, public transit vouchers, and the chance to work in a collaborative, friendly environment. Salary will be commensurate with your experience and abilities, ranging from $55,000-$60,000. There are opportunities for bonuses.
